Administrative Assistant
Saint Agnes Parish - San Francisco
Administrative Duties:
• Scheduling:
Weekly Staff Meetings – to include taking and distributing minutes; follow up on action items.
Scheduling for Sacristans and Altar Servers
Ministry calendars and Sacraments
• Parish Office duties --to include phone inquiries and requests, follow-up to requests, calendaring, mail, parish business and vendor files, billing, invoicing, etc. Parish-Parishioner written communications: editing, proofreading, formatting.
• Supervise the collection, counting and banking of parish donations.
• Manage and order the supplies needed for the office, church, ministries, and liturgies.
• The Administrative Assistant will play a vital role in aiding and bolstering the efforts of the Operations Manager, particularly in matters concerning human resources, administrative tasks, and interface with the human resource department at the Archdiocese of San Francisco . While this responsibility may not be the primary focus of the assistant's role, there will be weeks or specific periods throughout the year where support in this capacity will be essential.

Administrative Support and Coordination for Sacraments

• Marriages
• Funerals
• Others: XV, sacramentals, etc.
Tech Support
• Provide first line support for computer hardware and software issues, as well as office machines (i.e., postage machine, copier, folding machine, telephones, etc.). If problems or issues persist, contact a third party vendor.
Essential Software qualifications:
• Parish Database System -PDS
• Microsoft Office Suite
• Excel
• Word
• Powerpoint
• PDF editor
• Miscellaneous software: Calendly, Zoom, Teams, etc.
• Asana Software Manager Project
• Ministry Schedule Pro
Bilingual (Spanish) desirable
3 or more years of office experience and management required
Attributes:
• Lead and supervise a team of 3 maintenance crew members responsible for the rectory, office, and Ignatian Spiritual Life Center.
• Excellent written and communication skills

Compensation
A competitive compensation package, including a comprehensive benefits package, will be offered, commensurate with experience. Salary range: $54,000 $62,150.
